Business Development Support Administrator

Hybrid / Agile working - the successful candidate will work between home and Warwick.

Telent is a technology partner to some of the biggest names in the transport sector including Transport for London, National Highways, Network Rail, Train Operating Companies, and several local authorities, providing maintenance and management of our customers assets to ensure the continued and reliable service of their critical communications infrastructure.

Here at Telent we are looking for a Business Development Support Coordinator to join our Rail team. You will be responsible for supporting the Rail Business Development, Bid and Marketing teams. This is an exciting opportunity to join a very busy successful team.

Key Objectives:
  • Reporting to the Business Development Director, providing support and coordination to the Rail Business Development, Bid and Marketing teams, being the first point of contact for Rail enquiries and queries.
  • You will act as a Salesforce champion - ensuring the Business Development and Bid Teams maintain Salesforce to Telent business standards.
  • You will act as an Office 365 / SharePoint champion.
Deliverables include:
  • Be the first point of contact for any Rail enquiries and queries.
  • Shared inbox management - all Rail tender related communications are currently received into the inbox and then circulated to the bid team/customers as required.
  • Chasing the team for internal responses to ensure responses are being sent back to customers in a timely manner.
  • Ensuring customer and internal deadlines are met.
  • Portals management - Rail tendering comes into the portal.
This includes:
  • Proactively checking tendering portals for new opportunities.
  • Checking the daily alerts received on transport sales for any new relevant Rail opportunities matching our alerts profile.
  • Keeping our profiles on all tendering portals up to date.
  • Updating supplier questionnaires on tendering portals.
  • Receiving tender messages from customers & circulating these to the bid team and sending tender messages to customers via portals/email.
  • Registering interest for various tenders and events as instructed by the BDMs.
  • Ensuring tender and other customer deadlines are met and responses sent
  • SharePoint and bid folder management: creating bid folders, granting access to bid folders as needed, archiving bid folders once tender stage has closed.
  • Salesforce support - ensuring data is always up to date, chasing opportunities owners for updating their opportunities, running reports, updating dashboards, chasing business approvers, updating Salesforce data for BDMs as requested.
  • SQ/PQQ completion support - supporting the Bid Team with completing and submitting supplier questionnaires as and when needed, especially the ongoing ones which get resubmitted to customers every year.
  • Oracle bid booking codes - creating, extending, and adding people to bid booking codes as requested by BDMs and BMs.
  • Cisco supply only quotations - managing the relationship between customers and our internal Sales Support team who are building these quotes.
  • Meetings support & notes taking - this includes organising meetings, sending out meeting invites, room bookings, organising lunch when needed, taking, and sharing meeting notes, organising socials.
  • Marketing Liaison - ensuring project info is fed to marketing department for socials/ case studies.
  • Any other ad-hoc support.
Experience:
  • Strong organisational skills
  • Ability to work and communicate with a diverse and distributed team.
  • Ability to work to deadlines.
  • Have experience of public procurement tendering
  • To have worked within a Bid or Business Development environment previously.
Skills/Qualifications:
  • Experience of Salesforce or similar CRM solution.
  • Experience of SharePoint
  • Experience of Oracle
  • Experience of Microsoft Office - Excel, Word, PowerPoint, etc.
  • Experience of portals used by public authorities for tenders (e.g., ProContract, CompeteFor, Ariba, Jaggaer/Bravo, etc)
Essential:
  • Strong organisational skills and demonstrable experience of achieving challenging deadlines.
  • Ability to communicate at all levels including with internal and external colleagues and customers.
  • To have worked in a similar environment such as Bid Management or Business Development and be familiar with public procurement tendering.
Desirable:
  • Experience of CRM management or Business Development management.
  • Understanding of operational, commercial, and financial aspects of contracts.
  • Demonstratable intellectual capacity to develop and deliver simple solutions to complex challenges.
