Responsible for supporting the Information Management Lead with delivering information management on the project/programme.

Contributing to developing the IM strategy, standards, procedures, and the IM management plan, ensuring successful delivery of the project/programme. Contributing to the development of the EDMS and then managing the workflows and document distribution in the EDMS.

You'll be responsible for:


  • Support the IM Lead defining and delivering IM strategies, standards (inc ISO19650) and processes.
  • Contribute to and support the delivery of the IM strategy, standards and processes set.
  • Training project/programme colleagues in IM policy, tools and processes and driving awareness and continuous improvement.
  • Update and enforce the EDMS project protocols guide.
  • Assurance and quality control of information model using digital tools and artefacts submitted and stored.
  • Liaising with the client, designers, contractors and throughout the project lifecycle.
  • Administer the EDMS system to ensure companies and users have been added to the system and their permissions set up correctly and as per the Mace guidelines.
  • Create, manage, and update the EDMS document issue groups as per the agreed distribution matrices.
  • Maintain the project work package list and ensure documents are being assigned to work packages and as per the Mace guidelines.
  • Works closely with the Mace Quality and Design teams on procedural elements and compliance with the management system.
  • Conduct weekly audits of EDMS system to ensure KPIs are met.

You'll need to have:


  • Information management experience across a number of projects and programmes.
  • Naming, numbering, filing conventions.
  • Knowledge and understanding of ISO19650.
  • Experience helping to set up the document control and IM function.
  • Good written and oral communication skills.
  • Disciplined in running IM processes.
  • Subject expert experience in key IM software such as Aconex, Asite, ViewPoint.
