Overall Purpose Of the Job

We are looking for an administrator to join our successful and award-winning firm of Chartered Financial Planners and to support the business and our Financial Planners in the delivery our service proposition to clients.

The base

You'll be based at our office located in Brighton, East Sussex.

What You'll Do

As a key member of the client support administration team, your primary responsibility will be to ensure the production of consistent and high-quality annual client reporting and associated systems data and information.

Working in a fast paced and highly collaborative environment, you will act as the gateway between our adviser teams and our investment and platform solutions providers.

Key Role Elements - Preparation of client Annual Review meeting documents to include meeting agenda, annual client report and risk questionnaire, plus any additional documents, which may require client signature. Reviewing all post received, scanning and emailing to the corresponding office/colleague for action. Co-ordinating stationary requests for all offices, arranging delivery of stock to the regional offices.

• Preparation of the annual review report includees;
• Responsibility for the end-to-end production of client review report using internal Enable client management system.
• Review and validation of investments and valuations
• Preparation of cost and charges disclosure
• FE Analytics
• Liaising with our financial planners & client support teams to ensure accuracy and completeness of client records.
• Preparing and issuing documents to be signed electronically via Adobe sign.
• Opening post daily on behalf of the wider team, reviewing same day, scanning and forwarding to colleagues, regional office for actioning.
• Answering calls
• Prepare and send letters of authority and obtain information on client policies from ceding schemes and providers to support research
• Managing client database
• Co-ordinate stationary requirements on behalf of all offices to ensure requests are managed centrally and opportunities are sought to
• With a thorough understanding of our proposition and processes, you will ensure the delivery of a positive client journey.
• Identifying opportunities to improve processes and procedures as part of continuous improvement.

The Knowledge, Experience and Qualifications You Need

• Motivated and comfortable working collaboratively across the business, building relationships with internal and external stakeholders.
• Ability to work on own initiative as well as part of a team.
• Ability to demonstrate high levels of attention to detail.
• Ability to prioritise multiple tasks in a high-volume deadline driven environment, the ability to make decisions and to work calmly under pressure are all key attributes.
• Proficient in Microsoft Office suite
• You will be required to complete the range of educational and training tutorials on our internal client management and client asset custody and administration and dealing systems, Enable and Fusion, as well as be fully conversant with our online client portal, Wealth Platform.
• You will be an individual who embraces change and understands and shares our corporate culture.
• Excellent telephone manner, communication skills and high standards of literacy are essential.
• Strong verbal and written communication skills.
