About the role:
The Sales Support Coordinator will provide comprehensive business administration support to the B2B Americas Content Licensing team. You'll ensure service and efficiency targets are delivered and maintained in order to assist with the achievement of the teams' annual revenue targets.
Primary Responsibilities
- Support the Americas B2B content sales team through the sales cycle by coordinating pre and post business administration, ensuring all tasks are accurately completed to specified timeframes.
- Manage the renewal process for a Fast Track bank of business
- Respond to external customer queries via Salesforce case management, and ensure our contractual obligations are met - in line with service level agreements for both print, digital and channel services.
- Act as first-point of contact for internal customer inquiries, assuming responsibility for resolving or passing relevant information as needed to other departments/team members.
- Create customer records in Salesforce, ensuring accuracy with an understanding of what is considered quality data.
- Review contract documentation as prepared by the sales team; ensuring contract minimums, lead time requirements and pricing is correct before approving via internal contract approval system.
- Track contract / PO status, following up as is necessary on behalf of sales team to ensure contract completion and services fulfilled in time for contract start date.
- Assist with meeting logistics for the B2B Americas team and support the wider Sales Support team in UK, CEMEA and Asia as needed.
- Take ownership of tasks to support sales people when they are in the field, recording actions taken in CRM system to ensure transparency upon return.
- Manage inbound calls and correspondence; be knowledgeable of FT products to provide excellent customer service.
- Prepare addendum and contract extension documentation upon client request, through to signature, service delivery, and invoice.
- Ensure invoicing is accurate and timely, as necessary assisting the credit control team with escalated debtor process to help reduce aged debt and improve cash flow.
- Collaborate with global Sales Support team, Customer Services, Circulation, Marketing and Customer Success teams, developing productive working relationships to continuously improve and streamline global sales support tasks and efficiencies.
- Provide system training and best practice refreshers to the Americas sales team.
- Assist Sales Support Manager with ad-hoc business projects and initiatives.
Essential Requirements
- Strong organization and ability to simultaneously manage multiple tasks
- Ability to prioritize workload and ensure that tasks are completed within designated timelines
- Excellent communication and time keeping skills
- Detailed-Oriented
- Self-starter, quick to learn and able to work using own initiative
- Ability to act as intermediary between various teams
- Good knowledge of Microsoft Office
- Previous SalesForce experience a plus
